The huge range of conference venues in Melbourne city makes decision making difficult. Here are a few questions you must ask before hiring any venue:
What does the package include?
For most people who hire venues off and on, the answers to this seem very obvious. However to be on the safer side it is good to clarify and understand what is included in the event package. Most commonly the cost includes stationery like notepads and pens, audio visual equipment, linen, room set up, access time to the room, cleaning costs and some may include water bottles and mints.
Most venues have all these listed out on a event sheet and while most will accept the booking on a phone call or internet for your own good it is better you have a signed agreement or at least email communication in this regard. Keep the records and transactions safely both for audit purpose as well as for dispute, if any was to arise later.
If for any reason there was to be a cancellation, would there be any cancellation fees?
Nobody wants to cancel a well planned event but unexpected events occur which may force you to cancel the conference or seminar. Check if there are any costs involved for cancellations. Also ask if you can postpone the event, if such a situation was to arise and how much time will they provide for the rebooking, also if there are any additional charges for the same. .
What are the parking arrangements available?
Most of your participants and delegates are bound to come in their own cars and would need parking space at the venue for safe keeping of the car. Check if the conference venues in Melbourne city you hire has private parking, disabled access etc. Also confirm how many vehicles can be parked at a given time, whether the parking space will be exclusive or on shared basis. If there is no private parking, is there any public parking facility available nearby, how much would it cost and would the organizers be able to avail any special rate for your delegates. Also check about public transport for those guests who may not have conveyance of their own. Collect the road map, information on the nearest train, bus stop or tram, numbers, names and stations if any.
If the venue is in prime business centres like CBD, reaching the venue may not be a problem.
